Mileage Log Spreadsheet
Record each trip with date, purpose and miles, and get yearly totals by trip type with the deduction worked out at the rate you set.
What's inside
One workbook, in Excel + Google Sheets. A mileage log template that records each trip and adds up the year for you:
- Start here: four steps and what the colors mean.
- Dashboard: business miles, the estimated deduction at your rate, number of trips and business-use percentage, with charts of business miles by month and miles by trip type.
- Settings: the tax year, up to 5 vehicles with their odometer at the start and end of the year, and a rate per mile for business, medical, moving, charity and personal trips.
- Trips: one row per trip with date, vehicle, from, to, business purpose and trip type. Type odometer readings or just the miles; parking and tolls have their own column. Room for 2,000 trips.
- Monthly: miles and value by trip type for each month.
- Summary: the year's totals by trip type and by vehicle, the estimated deduction and business use for each vehicle.
- Sample check: a year of sample trips with the answers worked out separately. Every row shows ✓ when the formulas are right.
Who it's for
A good fit if you
- Are self-employed, a gig or delivery driver, a real estate agent or a landlord who drives for work.
- Want a mileage tracking spreadsheet instead of another app that tracks your location.
- Want the year's business miles and deduction estimate ready before tax time.
Not for you if you
- Need a form to claim miles from your employer. The Mileage Reimbursement Form Template is made for that.
- Want someone to decide which trips are deductible. That is a question for a tax professional.
How it works
- Open the file. It comes filled with a year of sample trips: 146 trips by a real estate agent, 6,073.6 business miles.
- Check the sample. Open Sample check and see every row show ✓.
- Type in your own. Set the year, your vehicle and the rate for that year, delete the sample trips, and log each trip as you drive.
Questions
Does it work in Excel and Google Sheets?
Yes. You get an Excel file (.xlsx) and a Google Sheets version, which is handy for logging trips from your phone.
Does it meet IRS requirements?
It has a place for each detail the IRS asks for: the date, the miles, where you went and the business purpose, plus odometer readings for the year. Whether your records are enough depends on how you keep them, so check the rules or ask a tax professional.
Which mileage rate does it use?
The rate is a cell you set. The sample uses the 2025 IRS standard rates: 70 cents a mile for business, 21 cents for medical and 14 cents for charity. Change them for the year you file.
Do I need odometer readings for every trip?
No. Type the start and end readings if you have them, and the miles are worked out. If you use a map app instead, type the miles in their own column.
Can I log more than one car?
Yes, up to 5 vehicles. Totals and business use are worked out for each one.
Can I get a refund?
Yes. If the template does not work for you, email [email protected] within 30 days of buying and you get your money back. See the refund policy.
