Rental Property Spreadsheet
Track rent and expenses for every unit in one file, with a year-end tax summary that fills itself in.
What's inside
One workbook, in Excel + Google Sheets. Seven tabs:
- Start here: four steps and what the colors mean.
- Settings: your tax year, up to 10 properties, and 30 categories you can rename.
- Transactions: one row per payment in or out, with drop-down lists for property and category. Room for 2,000 rows.
- Monthly: every category by month, for one property or all of them.
- By property: income, expenses and net income side by side for each property.
- Tax summary: year-end totals by category, with a column for the line on your own tax form. Prints on one page.
- Sample check: a year of sample numbers with the answers worked out separately. Every row shows ✓ when the formulas are right.
Amounts have no currency sign, so the file works in dollars, pounds or any other currency.
Who it's for
A good fit if you
- Own one to ten rentals and keep the books yourself.
- Dread pulling a year of receipts together at tax time.
- Want a file you can open, change and keep, with no app to log in to.
Not for you if you
- Need full accounting software with bank feeds and invoices.
- Want someone to tell you what you can deduct. That is a job for a tax professional.
How it works
- Open the file. It comes filled with sample numbers for two properties.
- Check the sample. Open Sample check and see every row show ✓.
- Type in your own. Delete the sample rows, add your properties, and record each payment. The totals update as you go.
Questions
Does it work in Excel and Google Sheets?
Yes. You get an Excel file (.xlsx) and a link that makes your own copy in Google Sheets. It also opens in Apple Numbers and LibreOffice, but those are not tested.
Is it ready for my tax return?
It gives you clean yearly totals for each category, for each property or all of them. You decide, or your accountant decides, which line of your return each total goes on. There is a column to note that line so next year is quicker.
Can I change the categories?
Yes. Rename any category or add your own in the empty rows on Settings. Each category needs a type, income or expense, so the totals know which side it belongs on.
Can I use it for more than one year?
Yes. Keep adding rows in Transactions and change the tax year in Settings. The summaries show the year you pick, and older rows stay where they are.
What if I break a formula?
In the Excel file the formula cells are locked, so typing over them by accident is hard. If something still goes wrong, download the file again from your Gumroad receipt.
Can I get a refund?
Yes. If the template does not work for you, email [email protected] within 30 days of buying and you get your money back. See the refund policy.
