Rent Receipt Template
Log rent payments and print a numbered rent receipt or a rent invoice for any tenant and month, with a rent roll for the year.
What's inside
One workbook, in Excel + Google Sheets. For landlords with a few units who want a proper receipt for every rent payment and a clear record of who still owes what:
- Start here: four steps and what the colors mean.
- Dashboard: rent collected this year, what is still owed, the share paid on time and receipts issued, with a chart by month.
- Settings: your name or company, address, phone, email and the first receipt number.
- Tenants: up to 20 tenants with unit, monthly rent, due day, deposit, late fee and grace days.
- Payments: one row per payment with date, tenant, rent month, amount, how they paid and check number. Each payment gets the next receipt number. Room for 1,000 rows.
- Receipt: type a receipt number and a one-page rent receipt is ready to print or save as PDF, with the amount in words and the balance still due for that month.
- Invoice: pick a tenant and a month for a rent invoice with rent, late fee, any earlier balance and other charges.
- Rent roll: every tenant by 12 months, paid and owed, with unpaid months in red.
- Sample check: four sample rentals with the answers worked out separately. Every row shows ✓ when the formulas are right.
The sample, so you know what to expect
Four rentals, January to September 2025, 35 payments and receipts #1001 to #1035. $45,375 collected against $45,450 due, so $75 is still owed: one late fee. 94.12% of rent was paid on time. Receipt #1024 shows a $600 partial payment with $525 left for July.
Who it's for
A good fit if you
- Rent out a duplex, a few houses or a room and want a rent receipt template that numbers itself.
- Have tenants who pay by check, cash or money order and ask for a receipt.
- Want a rental invoice template for the month ahead, with late fees added.
Not for you if you
- Want to track every rental expense for taxes. Use the Rental Property Spreadsheet for that.
- Want tenants to pay online through the file. It records payments; it does not collect them.
How it works
- Open the file. It comes filled with four sample rentals.
- Check the sample. Open Sample check and see every row show ✓.
- Add your own. Fill in Settings and Tenants, then log each payment and print its receipt.
Questions
Does it work in Excel and Google Sheets?
Yes. You get an Excel file (.xlsx) and a Google Sheets version. Both print the receipt on one Letter page or save it as PDF to email.
Does it handle partial payments?
Yes. Log each part as its own payment. Each gets a receipt, and the receipt shows what is still due for that month.
How are late fees added?
You set each tenant's late fee and grace days. When a month's rent is paid after the grace days, that tenant's late fee is added to what is owed for the month, and it shows on the next invoice until it is paid.
Is a rent receipt a legal requirement?
Some states and cities require landlords to give receipts, especially for cash. Rules differ, so check yours. This template is a record-keeping tool, not legal advice.
How many tenants and payments does it hold?
Up to 20 tenants and 1,000 payments.
